How TabaTalk Simplifies Business Collaboration

The average small business communicates through a phone system, a chat tool, a personal mobile for customer WhatsApp, an email inbox and a CRM that none of them talk to. TabaTalk’s premise is that voice and messaging belong in one place, on the business number, logged against the customer. This article looks at how that simplifies daily work for a team and what to expect when moving to it.

One number, every device

Each user has an extension on the business number and reaches it from a desktop app, a mobile app and, optionally, a desk phone. A call to the main number is routed to the right person or queue; the person answers wherever they are; the customer sees the business number, not a personal mobile. When staff leave, the number stays with the business.

Calls and messages together

Customer conversations that start as a call continue as a message, and vice versa, in the same thread. Staff see the history before they answer. Messaging channels are handled by the same team, in the same queues, with the same reporting as calls. For businesses whose customers expect to message rather than call, this is the difference between a managed channel and a personal phone nobody can audit.

Internal collaboration

Presence shows who is available; internal chat and group conversations replace a separate tool for quick coordination; a call can be transferred with a note. For a distributed team this is the minimum needed to operate as one office.

Queues without a contact-centre project

A sales or support team gets a queue, a greeting, hold music, overflow rules and a wallboard from the portal. Managers see calls waiting, agents on calls and service levels in real time, and reports afterwards. This used to require a contact-centre platform and a consultant; here it is a configuration page.

The CRM connection

Calls and messages are logged to the customer record in the CRM or helpdesk, with the recording attached. Click-to-dial from the CRM, screen pop on inbound. For a sales team this removes manual logging; for a service team it gives the agent the context before they say hello.

What changes for a team

  • No more “which number did the customer call?” – every channel is on the business number.
  • No personal mobiles for customer contact – conversations are recorded and stay with the company.
  • Fewer tools – phone, chat and messaging in one app.
  • Managers see the workload – queue stats and reports replace guesswork.
  • Onboarding a new hire is creating a user and handing them the app.

A typical rollout

Consider a 30-person brokerage with a sales team and an admin team. Its numbers are ported, two queues are set up (sales and customer service), every user gets the desktop and mobile apps, the admin team gets ten desk phones, the CRM is connected and a wallboard goes up on the sales floor. The business is live within a week, and within a month the personal mobiles that used to carry customer calls have been retired from customer contact.
